The short answer

Give each helper only the permissions they need. Then keep five good habits. Nobody can promise you more bookings, but these habits stop you losing guests.

Add a helper, step by step

  1. Step 1: Open "ROLES & PERMISSIONS" in the seller menu.

    You find "Users", "Roles" and "Users in Roles" there.

  2. Step 2: Set up a role for the job.

    Use "Roles". For example, make a role for someone who answers bookings. Give it only the permissions that job needs.

  3. Step 3: Put your helper in that role.

    Use "Users in Roles". Your helper can now do what the role allows.

  4. Step 4: Check that it works.

    Ask your helper to open "Bookings". If they see "You do not have permission to do that for this store.", their role needs another permission.

Which permission does what

The store owner can do everything. Helpers can do only what their role allows.

Who gets the booking emails

Booking emails go to your store’s email and to the owner.

Up to 10 team members with "Process Orders" get them too.

Keep codes safe inside your team

Only people with "Process Orders" can see door codes and Wi-Fi passwords.

Others see "A code is saved", but not the code. So give that permission only to people you trust.

"Change history" on the calendar shows who changed what, and when.

See what your stays earn

In the seller menu, open "ORDERS", then "Earnings". It lists one row for each finished stay.

Four boxes show your totals: "Not due yet", "Due to you", "Paid to you" and "Commission (5%)". A commission is our share for running Cabans.

Five habits that stop you losing guests

These five habits cannot promise you more bookings or more money. But they stop you losing guests who already want to stay.

  • Price every open night. A night with no price cannot be booked. See lesson 3.
  • Answer every request in time, or use instant book. A missed request is declined for you. See lesson 7.
  • Offer something for longer stays, like a free night. See lesson 4.
  • Sell extras guests need, like bottled water. See lesson 10.
  • Block dates early. It is kinder than cancelling a guest later. See lesson 5.

  • Open the "Requests" tab. Is anyone waiting for an answer?
  • Then open "ROLES & PERMISSIONS" in the menu. Check who can answer bookings.
  • Open "Earnings". Find your four totals.

Questions people ask

Can a helper see my door codes?

Only with the "Process Orders" permission. Without it, they see that a code is saved, but not the code.

Can I see who changed my calendar?

Yes. "Change history" shows who changed what, and when.

Does a helper need a permission to bill extras?

Yes. To bill extras, they need "View Products" as well as "Process Orders".
